PRIVACY POLICY

 Introduction

RAIN is committed to protecting the privacy and security of its members’ data. This policy explains how and why we use your personal data to ensure both that you remain informed about the activities of your Charity and also that you retain control of your personal information. The European General Data Protection Regulation (GDPR) comes into force on 25th May 2018 and we are asking all our current and future members to confirm, in accordance with the GDPR, that they consent to RAIN’s use of their personal information for these purposes. 

The information we have and where we keep it

We hold the following information about the members of RAIN:

- Members’ names
- Their postal address
- Their e-mail address (if they have one)
- Their telephone number or numbers
- Their consent, if applicable, to the gift aiding of their payments to RAIN
- The date they joined
- The method by which they pay their subscriptions
- Their membership type (Single, Joint or Family)
- Returned communication consent forms
- Details of the chipping registration of any animals adopted through RAIN.

This information is held in an encrypted Microsoft Access file on a password-protected computer maintained by the Membership Secretary and Database Manager, The other members of RAIN’s administration team who are permitted access to the database are the Hon Secretary, the Hon Treasurer, the Hon Publicity Mailings Manager and the Hon 200 Club and Website Managers.  (The 200 Club has a separate secured database.)

In no circumstances will the information on the RAIN database be sold or passed on to outsiders. It will be used solely for the purposes of keeping RAIN’s members informed of its activities, collecting and corresponding about subscriptions and donations, dealing with contributions to RAIN NEWS sent in by members (which if published are published anonymously) and any correspondence necessary concerning the microchipping of adopted animals. 

Every member has the right to have their personal information amended or removed from the database. Such information has in the past been removed when a member has resigned or declined to respond to a second Subscription Reminder. It is intended that this practice will continue. 

The RAIN Website

The RAIN website does not use cookies. However, it has links to Just Giving and to Facebook but, as will be understood, RAIN is not responsible for the content or functionality of these external websites.

Complaints

If you have any complaint in connection with the retention and/or use by RAIN of your personal information you should raise it with RAIN directly by contacting our Database Manager using the Contact link below. If you are not happy with our response, or you believe that your data protection or privacy rights have been infringed, you may complain to the UK Information Commissioner’s Office which regulates and enforces data protection law in the UK. Details of how to do this can be found at www.ico.org.uk.

Changes to RAIN’s Privacy Policy

RAIN’s Privacy Policy is amended from time to time to ensure that it remains up-to-date and that it accurately reflects how and why we use your personal data. The current version will always be posted here on RAIN’s website. The Policy was last updated in April 2018.
